Overview:
Creating a Campaign from Source Data is the option where Doubleknot enables the user automatically include the details of an asset in a new campaign.
The workflow to perform this action is within a wizard screen. The user can quickly select the previous campaign sent, add a new campaign title and then select the recipients for the new campaign. This will transfer the campaign to the distribution engine. At that point, the user can elect to distribute immediately or select the data and time for distribution.
Selecting the Source Data:
To Create a Campaign from Source Data, click on the Create a Campaign Dropdown menu and select "From Source Data".
A dialog box will appear to provide Source Data options. Doubleknot provides search and filter options to allow the user to locate the Source Data.
- The search for the Source Data by name, use the search field.
- To filter the past options by Source Type, use the drop-down menu to filter.
- To include any potential Source Data that are scheduled in the future, select Past & Future option. This will make sure that the user will see all available Source Data options.
- The filter options also work together to filter and then search for Source Data options within the organization.
- To select the appropriate Source Data option, click once on the listing and then click “Continue”.
Create Campaign Name:
Enter the name of the new campaign. Communication Suite prevents duplicate naming for campaigns. This is because any campaign that is sent is eligible for selection to create a new campaign. Having the same naming could cause confusion for the user.
If the campaign needs to be mapped to a specific Campaign, Fund or Appeal, use the provided drop-down options. The options will need to already have been created for the organization.
NOTE: This is not required to move forward in the process.
Click “Continue” to move to the next step.
Create the Recipient List:
In the third step in the process, the user can create a customized recipient list. Doubleknot provides the user with multiple selection options to add recipients. The user can pull recipients from previous program registrations, from existing subscriber lists or even manually enter the email addresses. The user can even compile recipients from multiple source points into a new, singular recipient list. You can also choose to "Select recipients later".
To update the recipient list, click on the Update button in the upper right corner of the screen. Select Recipient list to be taken to the menu to add recipients.
- Manually Enter Email Address: The user can enter the email addresses in the provided field, separated by a comma. There is a 5,000-character count for this entry option.
- Saved Searches: All saved searches created in the organization’s Doubleknot account will be available here. The user cannot create a new search from this screen, but all saved searches will be available for selection.
- NOTE: Saved searches within Doubleknot are dynamic, meaning that the system will update the results of the search on a recurring basis. This update will include any new constituents that fit the search criteria or constituents that no longer fit the criteria.
- E-Lists/Groups: The user can select from existing e-lists or groups within the organization’s Doubleknot account.
- The user cannot create another e-list or group from this screen so only the previously created options will be available for selection.
- NOTE: Doubleknot will update all e-lists and groups for any email addresses that have opted-out of communications or if the email address is no longer valid.
- Positions Held: Any positions head groups that are available within the organization will be listed here. The user can select a single or multiple listings to include in the recipient list.
- Event/Donations/Membership/Facilities: The user can add email addresses that are included in registrations for events, donations received, memberships purchased, or facilities registered.
- The user can select multiple options within the provided list.
- The user has two options:
- All registrants and registration owners: This will include the available email addresses for all those who registered as well as the registration owner.
- Only registration owner: This will include the email of the individual of the owner of the registration.
- Previous Campaign: If the organization has created and distributed a new campaign, the user can view these and select either single or multiple campaigns. If the user selects multiple, the recipients list of the selected campaigns will be compiled.
- Programs: Doubleknot will provide a listing of all programs within the organization. The user can select a single or multiple programs to include all registration email addresses into the recipient list.
- Entire Constituent List: This option will add all of the constituents that have email addresses as part of their profile into the recipient list.
- Organizational Groups: Within the organization, the administrator can create groups specific to roles within the organization or for constituents. The user can select perform either a single or multiple select to add as many groups required.
Distributing the New Campaign:
After completing the process of selecting the source data, creating the campaign name and adding recipients, the completed campaign is ready to distribute.
At this point, the user can select to distribute the campaign now or schedule for distribution. Click the "Prepare to Send" button to select which time frame the campaign will be distributed.
NOTE: The recipient list that was created by the user will be available for selection within Communication Suite for a later campaign. It will also be available for usage by the user to create an Automated Journey.
Editing Gift Information:
The user has two options that they can use to add the appropriate Campaign, Fund and Appeal to the created campaign.
The first option is within the Name the Campaign screen. The user will see the options listed from the drop-down boxes on the screen.
The second option is to use the Update button from the create campaign screen and select Gift Information. The user will be provided a screen to select the appropriate options.
Editing a Saved Campaign:
If the user has created a new Campaign, they can save it as a Draft and then access it at a later time.
To find the draft campaign within the Campaigns Dashboard, the user can enter the campaign name in the search field as well as update the type of filter to show "Draft". This will bring up all campaigns that are in draft with the entered name.
Once the campaign of interest has been identified, the user can click on the ellipse at the end of the campaign and select "Edit". This will open the campaign for editing and/or sending.
If the user needs to update the Gift Information of a saved campaign, click on the ellipse for that campaign and select "Gift Information". A screen will be provided to specify the campaign, fund and appeal specific to the intended communication.
